CDs are inexpensive, small and lightweight. This makes them easy to store, carry around and mail. They’re also user-friendly. Today, many different kinds of audio-visual data are stored and sold on CDs.

Tip

  • Protect your CDs from “CD rot” by handling them by the edges only, and storing them upright in a place where they’ll be safe from dirt, dust and moisture.

Many people prefer using CDs to MP3s for music because the sound quality is better. When it comes to business, CDs can be a great way to store data offline. If they’re well maintained they can last for many years. CD-RWs are perfect for this use because you can add and delete data from them again and again.

Three Types of CDs

Before we go into the details of how to delete data from a CD-RW, it’s important to distinguish it from other types of CDs.

CD-ROM

CD-ROM stands for Compact Disc Read Only Memory. This is the most basic type of CD. It’s the kind that we usually buy with music on it. While you can play it until it wears out, it can only be written on once. That’s usually done by the manufacturer. No changes can be made to the data on it and the data cannot be deleted.

CD-R

The second type of CD is the CD-R, or Compact Disc Recordable. When you buy a CD-R, you typically buy it empty and write your data on it. You can write data to this type of CD once. You cannot erase files from a CD-R or rewrite the data that you’ve put on it.

CD-RW

Finally, there is the CD-RW or Compact Disc Rewritable. When you buy a CD-RW, it typically comes empty. You add your data to it. However, unlike the two other types of CDs, you can also delete data from it and write new data onto it as many times as you like.

As long as you take care of the disc, its integrity will not be compromised by writing, deleting and rewriting on it.

CD-RWs for Small Business

File

The versatile CD-RW can be helpful in a small business setting as a way to store data offline. While the cloud is used extensively and wisely by businesses and individuals to store data, a second form of backup is strongly recommended.

Storing information and important documents only on individual computers or your local network is a setup for disaster. Everything is susceptible to loss should anything happen to your computers or your network.

The Cloud for Online Backup

One very popular type of online backup is to have an account with a cloud service provider. These services are usually set up to automatically back up your computer at regular intervals. They maintain your data indefinitely as long as you pay their bill. In the event of a crash you can access and restore all of your data and documents through them.

You can also set yourself up to have direct access to a cloud service where you manually upload what you want to back up. This method is OK for personal use or the self-employed individual. It’s not OK for a small business with employees. Relying on busy employees to remember to back up their work is not a reliable policy or procedure.

Backup Your Backup

Even if you use a cloud service provider it’s wise to have offline backup. One reason is that you can only access your data on the cloud when you’re connected to the internet. In the event of an internet outage, your business could come to a complete standstill until your access to the internet is restored.

Also, highly unlikely but possible, your cloud storage provider could have issues on their end that could lead to the loss of your data. So it’s a good idea to use an offline backup method that does not involve storing the information on your computer or in the cloud. In other words, a backup for your backup.

The CD-RW for Off-site Backup

This is where a CD-RW comes in. You can write data on it as many times as you want and erase or edit that data when you see fit. All you have to do after that is store the CD-RW somewhere where it will be both safe and easy to access when you need it.

Off-site storage of your offline backup is strongly recommended for critically important data and documents. In the event of a fire or natural disaster, you’ll have safely stashed what you need to keep doing business until things get back to normal.

When you have both online and offline backup working for you, you’ll have the peace of mind that comes with knowing that nothing you need to keep your business functioning is permanently lost.

Erase Files from CD-RW

Windows 10 still supports writing, deleting and rewriting CD-RWs on PCs. Insert the CD-RW into the CD/DVD drive on your PC or laptop. Wait for the drive to read and recognize it, then open your CD/DVD drive by double-clicking on its icon on your desktop. If you don’t have a CD/DVD drive icon on your desktop, type “This PC” into the search box to open it.

Once “This PC” is open you’ll see that it contains folders for music, documents, downloads and a few other things. Below these folders is a section called Devices and Drives. This is where you’ll see an icon for your CD/DVD drive. Double-click on it.

Double-clicking on the CD/DVD drive icon will open the CD-RW you’ve inserted in it so that you can see all of the files that are currently on it. From here you can choose the items you want to delete or select all. Then right-click and choose Delete or use the Delete key on your keyboard.

Erasing a CD-RW on Mac

To erase data from a CD-RW on a Mac, first make sure your CD drive is plugged into your Mac. When it’s plugged in, its icon will appear on your desktop. Double-click or right-click on the icon and a shortcut menu will open.

Choose Erase Rewritable Disc. A little window will open giving you the choice to Erase or Don’t erase. Choose Erase. A blue bar will pop up showing you the progress of erasing the disc. It usually finishes very quickly — within seconds.

You’ll know the process is finished when the progress bar disappears and your Mac tells you that “You inserted a blank CD…” At this point you can choose Eject to remove or delete your CD from the drive and retrieve your now-blank CD-RW.

Why Not a Flash Drive

These days most small businesses would manage offline backup using flash drives which can hold multiple terabytes of data compared to just 700 megabytes for a CD-RW. However, you may have reasons for preferring to use CD-RWs for some or all of your offline backup.

Your business may handle sensitive matters for clients and you don’t want all employees to have access to everything. You may want to store information on how the company is doing separate from office supplies inventory. You can password protect particular files but some find it easier to divide what they’re backing up into smaller pieces on CD-RWs and control who has access to certain CDs.

Even in this day of 4-terabyte flash drives, there are advantages to using CD-RWs for data storage. While they may be discontinued someday, today is not that day.
